Role Summary:
We are seeking a motivated and detail-oriented Procurement & Inventory Specialist to support the company’s purchasing, inventory, shipping, and import operations. This role is responsible for managing supplier communications, purchase orders, inventory control activities, and international shipments while ensuring compliance with customs regulations, quality standards, and company procedures. This role is intended to be hybrid; the specific work arrangement will be evaluated based on operational needs.
The ideal candidate is adaptable, eager to learn, and interested in developing strong expertise in procurement, inventory management, vendor relations, and cross-border logistics. The successful candidate will play a key role in maintaining material availability, supporting operational efficiency, coordinating imports from Europe and North America, and driving continuous improvement initiatives across the supply chain.
Key Responsibilities:
Manage day-to-day purchasing activities and issue purchase orders for production and operational requirements.
Coordinate procurement activities with domestic, international, and cross-border procurement teams.
Follow up with suppliers to ensure on-time delivery and proactively address potential supply disruptions.
Support sourcing activities for European, local, and other international suppliers, including RFQs and supplier follow-ups.
Maintain accurate purchasing records, pricing information, supplier data, and order confirmations within the ERP system.
Assist with sourcing activities, supplier quotations, and cost reduction initiatives.
Import & International Trade Coordination:
Coordinate ocean, air, and ground shipments from Europe and other international suppliers.
Work closely with freight forwarders, customs brokers, and carriers to ensure timely delivery of imported goods.
Review and maintain import documentation including commercial invoices, packing lists, certificates of origin, and customs documentation.
Apply and interpret Incoterms (EXW, FCA, FOB, CIF, DDP, etc.) during purchasing and transportation activities.
Assist with annual and ongoing CUSMA/USMCA documentation and maintain compliance records.
Stay current on customs regulations, border legislation, and trade compliance requirements, communicating changes to relevant stakeholders.
Support customs clearance activities and resolve shipment-related issues when required.
Inventory Management & ERP Administration (SCM, Dynamics 365):
Strong understanding of PPO (Planned Purchase Orders) and min-max inventory stock levels to support efficient replenishment and avoid stockouts or overstock situations.
Coordinate and support physical inventory counts and cycle counts.
Investigate inventory discrepancies and process inventory adjustments within the ERP system.
Support material planning activities to ensure uninterrupted production operations.
Assist with receiving, storing, organizing, and distributing purchased materials.
Ensure accurate daily transactions and inventory records.
Shipping & Receiving (Support Function):
Provide support to the shipping and receiving team as required and be capable of assisting during absences.
Assist shipping personnel with skidding, packing, and shipment preparation when needed.
Verify accuracy of daily shipping transactions and documentation.
Support creation of Advance Shipping Notices (ASN) for customers when required.
Assist with coordinating freight pickups and shipment readiness.
Maintain shipping records and documentation as per company procedures.
Cross-Functional Coordination & Communication:
Act as the key communication link between procurement, production, logistics, inventory, and sales & installation teams, ensuring timely escalation of supply risks, delays, and material issues to maintain full operational alignment.
Ensure alignment of priorities across departments regarding material availability, delivery timelines, and production needs.
Support resolution of interdepartmental issues related to purchasing, shipping, and inventory discrepancies.
Ensure all departments are aligned on procurement schedules, shipment status, and material requirements.
Continuous Improvement/ Quality/Safety
Identify and recommend improvements to procurement, inventory, and logistics processes.
Support initiatives that reduce lead times, improve efficiency, and minimize waste or damage.
Participate in continuous improvement projects across supply chain functions.
Follow all company procedures and ensure regulatory compliance with internal quality, purchasing and import activities.
Maintain a safe work environment and always follow safe work practices.
Report hazards and participate in safety improvement initiatives.
Qualifications:
2-4 years of experience in Procurement, Purchasing, Supply Chain, Knowledge of import/Export, or Shipping & Receiving roles.
College diploma or degree in Supply Chain Management, Business Administration, Logistics, or related field.
Experience working with ERP systems Dynamic 365, and SCM(inventory and purchasing modules).
Strong proficiency in Microsoft Excel and data management tools.
Excellent communication and coordination skills across multiple departments.
Strong attention to detail, organization, and problem-solving ability.
Ability to manage multiple priorities in a fast-paced environment.
Language Skills: Native level written and spoken local language.
Safety Certifications: WHMIS, Workers' Health and Safety Awareness, understanding of safety standards, and PPE use
